The VIB Account: Setting a Customer or Signing a Customer Up

You should try to get every customer to sign up for a Very Important Beaver (VIB) account if they are not already! Ask each customer if they already have an account with us. The benefits of signing up are: 

  1. Dividend of 5% back on regular price purchases in April and October (excluding labor, electronics, and rentals)
  2. Receipt is stored in the system in case the customer needs to return an item, but has lost the paper copy
  3. We don’t send out excessive e-mails or call – but occasionally (approximately once/month) send out an e-newsletter with upcoming events and sales and notification when the dividend is paid out

To Set Up a New Customer

  1. In the “Find Customer” menu (F7) select “New”
  2. Fill out the fields for “First Name”, “Last Name”, “Telephone Number”, and “E-Mail Address”. No spaces in phone # Include area code.
  3. Click on the “Additional” tab in the upper right corner and update the e-mail address updated date field
  4. Allow the POS to autogenerate their new code.
  5. Choose them in the find field.

To Set an Existing Customer

  1. In the “Find Customer” menu (F7) either search by “Last Name”, “Phone Number”, or scan the barcode on the customer’s VIB card
  2. Select the customer and hit “Ok”



Standard Transactions

Sale of Merchandise (standard items)

  1. Select VIB account
  2. Scan the UPC barcodes on the merchandise
  3. Compare the price tag amount to amount on screen to make sure they match. Adjust as appropriate.
  4. Apply discounts as appropriate (see DISCOUNTS section).
  5. Notify the customer of any account balance they may have and ask if they would like to use it.
  6. Click “Tender” (F12).
  7. Record amounts paid in appropriate sections. If the customer pays with multiple methods, read the new total after each different method of payment.
    1. CASH: Enter cash actually given so the computer calculates exact change owed. Unusual bills ($2 bills, bills bigger than $20, etc.) go under the cash drawer.
    2. CREDIT/DEBIT: Have the customer insert their credit or debit card (or swipe if the card has no chip). Enter the appropriate amount and double-check that it matches. Press OK (green button). Have the customer sign the merchant copy of the receipt (if credit) and press Yes or No to print a customer receipt. The first receipt printed goes in the far left of the cash drawer. Second receipt printed gets stapled to the back of the primary customer receipt.
    3. GIFT CARDS: Type + in the Gift Card section, then swipe the gift card in the keyboard (or type in the gift card number on the back of the card) to use the balance on the card.
    4. ACCOUNT BALANCE: Type in the exact amount on the account (or less, if the customer doesn’t want to use all of it).
    5. INVOICE: 
    6. PAPER GIFT CERTIFICATE: Sign and date the gift certificate and put it in the bottom of the cash drawer. If the customer doesn’t use the entirety of the certificate, you can cross out the previous amount and write in the new amount (make sure it’s legible!). Sign and date the new amount.
    7. CHECK: We don’t normally accept checks. You can look at the notes in a customer’s account information to see if they have had an exception made for them.

 

LAYAWAYS

  • Starting a Layaway
  • A minimum deposit of 20% is required for any layaway
      1. Set the Customer Account (F7) – If the customer does not have an account, one will need to be created for them.
      2. Access the layaway option by clicking on the “Layaway” button or CTRL F8
      3. Scan the item(s) to be put on layaway
      4. 20% deposit is automatically calculated appearing in the ADD’L Deposit window
        1. If the customer wants to pay more than the minimum access the “Payment” window (SHIFT F4) and enter the total amount
      5. Tender the transaction (SHIFT F4)
  • Making a Payment on a Layaway
      1. Recall the layaway (F11) – Select the “Recall a Layaway” option from the menu
      2. Select the layaway from either the layaway # or the customer name
      3. Access the payment window (SHIFT F4)
      4. Select “Save Changes” from the pop-up menu
      5. Enter the amount of payment the customer wants to make
      6. Tender the Transaction (SHIFT F4)
  • Picking up a Layaway
      1. Recall the layaway (F11) – Select the “Recall a Layaway” option from the menu
      2. Select the layaway from either the layaway # or the customer name
      3. Access the payment window (SHIFT F4)
      4. Select “Pick Up Entire Layaway” from the pop-up menu
      5. Tender the Transaction (SHIFT F4)
  • Picking up a Partial Layaway
      1. Recall the layaway (F11) – Select the “Recall a Layaway” option from the menu
      2. Select the layaway from either the layaway # or the customer name
      3. Access the payment window (SHIFT F4)
      4. Select “Pick Up Partial Layaway” from the pop-up menu
      5. Choose the checkbox next to the item the customer wishes to pick up – click “OK”
      6. Tender the Transaction (SHIFT F4)
  • Cancelling a Layaway
  • *MANAGER APPROVAL IS NECESSARY FOR LAYAWAY CANCELLATIONS
      1. Recall the layaway (F11) – Select the “Recall a Layaway” option from the menu
      2. Select the layaway from either the layaway # or the customer name
      3. Change the quantity on the item the customer wishes to cancel to 0
      4. Tender the Transaction (SHIFT F4)
        1. A pop-up window will appear: “Deposit Amount to Keep”
  • We reserve the right to charge a 15% restocking fee 
        1. Within 30 Days: Amount stays set to $0
        2. Outside of 30 Days: 15% restocking fee to be assessed by the MOD – Store credit is to be given by selling a gift card at the cancellation amount

 

GIFT CARDS

  • To check the balance on a gift card
      1. Click “Voucher”
      2. Make sure the “Balance check” radio button is selected
      3. Highlight the “Voucher number” box and swipe the card in the keyboard. If swipe doesn’t work, you can manually type in the number above the magnetic strip.
      4. Click “OK.”
      5. The current balance is shown in the lower right corner of the screen. The primary box shows the card’s usage history, including dates and transaction numbers. You can highlight a transaction and click “View…” to see the receipt for more details about a transaction. Click “OK” or “Cancel” when done.
  • To  add money to a gift card
      1. Click “Voucher”
      2. Highlight the “Add money” radio button.
      3. Highlight the “Voucher number” box and swipe the card in the keyboard. If swipe doesn’t work, you can manually type in the number above the magnetic strip.
      4. Click “OK.”
      5. Type in the amount you would like to add.
      6. Tender (See “Sale of Merchandise”)
  • To buy a new gift card
    1. Have the customer select a gift card image (there is no difference other than the graphic).
    2. Type “gc” as the Item Lookup Code and hit Enter.
    3. Swipe the gift card in the keyboard. If swipe doesn’t work, you can manually type in the number above the magnetic strip. Click “OK.” When the computer says the serial number wasn’t found and asks if you would like to create a new one, say “Yes.”
    4. Enter the gift card amount.
    5. Continue as with a standard transaction.

Discounts

Available Discounts

  1. Be familiar with current sales and promotions. Keep a cheat sheet by the register if you have to.
  2. If a customer requests a guide, team, coach, or some other regular discount, find their Beaver Account, click “Properties,” then the “Additional” tab and check the “Notes” section to see what they are approved to get discounts for. If you don’t see it, check with a manager before approving the discount.
  3. Military discounts are 5% and apply to active duty, retired, and dependents.
  4. Clearance prices are listed on an orange tag on the item and are not subject to further discounts unless explicitly stated (such as a Black Friday deal) or approved by a manager.

      1. Small items with no UPC are often ordered in bulk and can usually be found by clicking “Dept Item Lookup,” then clicking the appropriate department and then finding the item. Cashiers should spend some time familiarizing themselves with the items that need to be rung up this way.

COMMON REGISTER TASKS

  1. Tap F9 to log out of your account. Always log out if you step away from the register.
  2. Tap F8 to open the cash drawer.
  3. Tap Ctrl+F12 (or press “Hold”) to hold a transaction for later and log out. Name it something recognizable. To recall it again, tap F11 (or click “Recall”).

CUSTOMER SERVICE

  1. Greet every customer who enters the store. Thank every customer as they leave (regardless of whether they bought anything).
  2. Smile. Give the impression that you’re excited to be here and happy to see everyone. Never complain in earshot of any customer.
  3. Customers are top priority. Drop everything to help a customer (except another customer). Customers that are physically present take priority over phone calls. If you’re helping a customer and the phone rings, ignore it.
  4. Don’t let customers see you snacking, playing on your phone, dawdling, or hanging out with other employees. Find something to do. (See KEEPING BUSY)
  5. If we don’t have what a customer needs, help them think of where to go next to find it.
